PropTech platform Greenhouse OS has launched a new AI-driven estate agency tool designed to move beyond what it describes as the ‘generic chatbot’ trend currently sweeping the property sector.
The Salesforce-powered operating system says its new Digital Negotiator 2.0 platform has been developed alongside leading estate agency owners to better replicate the behaviour and decision-making of experienced negotiators rather than relying on standard automated responses.
The launch comes as Greenhouse OS claims that 62% of estate agency enquiries are now received outside traditional office hours, between 6pm and 9am and across weekends, creating growing pressure on agencies to manage lead response and customer engagement more effectively.
The firm says the latest version of its Digital Negotiator has been specifically engineered to capture and manage this out-of-hours activity, helping agencies maintain lead engagement when branches are closed.
FULLY INTEGRATED
Unlike many bolt-on AI tools entering the market, Greenhouse OS says the system is fully integrated into its wider CRM and Salesforce ecosystem, allowing it to automate tasks such as valuation bookings, diary management and lead qualification directly within an agency’s existing workflow.

The platform also allows agencies to customise how the AI communicates with customers, including tone of voice and response style, in an attempt to more closely reflect individual agency brands.
Greenhouse OS says the product has been developed in collaboration with its Product Council, a group of agency owners involved in shaping the functionality and operational behaviour of the AI platform.
TRIGGER, GOAL, SYSTEM
Alex Rhodes (main picture, inset), Managing Director of Greenhouse OS, says: “Most AI tools are a risk to an agency’s brand because they are generic and ‘un-trainable’.
“We didn’t want to give our clients a black box. We gave them a framework. With our unique ‘Trigger, Goal, System’ model, agents don’t just turn the AI on – they mentor it. They define the tone, the rules and the protocol.”

Karl Judd from Ashtons Estate Agency says: “It’s going to free up so much more time for valuable people to do valuable jobs, taking out of the equation the basics that can now be done by automation.
“The thing I like most about it is the fact that it’s a text message. Sounds really simple, but emails just get lost now. Text messages seem to get answered really quickly.”

Oliver Hewitt from Sears Property adds: “The thing I like best about Digital Negotiator is the fact that it’s going to be very consistent.
“I think that’s one of the issues that we have within the industry, consistency of behaviours.”
